Job Description

* Monitor and track outcomes and expenditure on a regular basis. Ensure all supporting evidence from delivery partners is defrayed and submitted on a timely basis and contractually compliant.
* Follow up discrepancies where delivery partners have not followed the correct process or submitted accurate information
* Assist Quality & Compliance Co-ordinator in devising processes and procedures and ensure they are embedded in the claims process
* Collate MI information and update database
* Undertake Administration tasks as and when required
* Support Supply Chain Manager to provide training to delivery partners
* Keep appropriate logs of MI data and expenditure for Audit and reconciliation purposes
* Ensure all evidence for claims is filed centrally and is easily accessible for External Audit purposes
* Support in preparing for external audits and participate in any contract Review and Audit Meetings
* Ensure all logs are kept up to date
* Report any findings/discrepancies and recommendations to Contract Manager
* Work in collaboration with the Quality and Compliance Co-ordinator and Prospects Finance in producing timely and detailed reports for senior managers on ESF spend and allocation
* Ensure all outcomes for each applicant are recorded for audit and compliance purposes
* To undertake any additional tasks as directed by your line manager

Person Specification

* Experience of preparing ESF/EU claims in a similar role is an advantage.
* Ability to understand and source data.
* An understanding of government/EU funded contracts e.g. ESF is an advantage.
* Good written and verbal communication skills.
* Prepared to travel within the Birmingham area
* Able to balance and respond appropriately to the sometimes competing demands from colleagues
* Good organisational skills including record keeping, establishing and using effective administrative systems
* Able to prioritise, plan and organise own work to meet deadlines and targets
* Competent in the use of ICT systems and packages - particularly MS Dynamics CRM and Excel
* Education level at or above minimum level 3 or relevant sector experience
* Willing to undertake professional training to maintain standards
* An understanding of and commitment to promoting equality and diversity
* Undertake such duties as may be required commensurate with the level of responsibility and nature of the job in discussion with your line manager.
* The post holder may be required to undertake occasional evening and weekend work.
